  • ISO 9001-2000 Quality Management

    The Chilean Print and Minting House’s quality control system was certified in December of 2002 under ISO 9001/2000, and its implementation process began in January of the same year. This certification allows our operations to comply with international quality standards. It has allowed for a cultural change within the organization that is not only reflected in better document management, but also in the recording of quality information that allows, through the analysis of these records, for opportune and informed decisions to be made. Part of this change is the analysis of the causes of problems that we encounter, allowing for not only the correction of a problem, but also the continual improvement of operations. Incorporating the concept of the internal client in our operations has allowed for each person working within the system to feel connected to the rest of the organization and also to understand the specific importance of their work and to value its effect. It has allowed us to give added value to our operations, weeding out those that do not provide added value and optimizing those that do. It also allows us to provide our external clients with attention and production that are oriented to meeting their needs. La incorporación del concepto de cliente interno en nuestros procesos permite a quien trabaja en una parte del sistema sentirse comunicado con el resto de la organización y a demás de conocer la importancia específica de su labor y valorar el efecto de su trabajo. Nos ha permitido ver el valor agregado de todo proceso, desechando aquellos que no agregan valor y optimizando aquellos que si lo hacen. Nos permite ofrecer a nuestros clientes externos, una atención y un proceso productivo orientado a la satisfacción de sus necesidades.

  • Electronic Document Management

    Gestión Documental considera la digitalización de los documentos oficiales que circulan por la Oficina de Partes de Casa de Moneda de Chile, logrando al interior de la institución disminuir los tiempos de respuesta, procesamiento y distribución de los mismos. De esta forma colabora con la reducción de otros recursos como insumos de oficina y espacios utilizados para su almacenamiento. Document Management involves the digitalization of all official documents that circulate the Office of Records and Archives of the Chilean Print and Minting House. It is concerned with reducing wait times for receiving, processing and distributing communications within the institution. In this way it collaborates with reducing the use of other resources such as office materials and storage space. This project has given us a means for generating and centralizing the documentation that circulates the institution, thus providing documents that may be reused, with the certainty that the latest version of the file is kept along with a record of its modifications. It has also allowed us to have more control over information access, by establishing privileges to certain users. This system also provides evidence of the flow of the document, indicating its current stage. Within this context, the Chilean Print and Minting House is using this project as a strategy for complying with government initiatives for modernizing the state, as established in Supreme Decrees 71, 81, and 83.

  • SAP ERP Platform

    The Print and Minting House utilizes SAP ERP, a Business Resource Management software program that is one of the most complete, flexible and scalable programs in the world. It consists of an open technological platform that can take advantage of and integrate different systems, both by SAP and others. The mySAP ERP program was implemented in the Print and Minting House in the year 2003, incorporating advanced technology into its production and administration processes through the implementation of modules in the area of Logistics (SD-Sales & Distribution, MM-Materials Management, PP-Production Planning) and Finance (FI-Finance, CO-Controlling). In this way, the institution was able to improve the integration of its different areas in order to have consistent information and to make decisions in a quicker and more precise manner, making our organization more competitive when providing quality service to our clients. In the year 2006, a Human Resources module (HCM) was implemented, along with programs for Personnel Administration (PA), Time Management (TM), Organizational Management (OM) and Payroll. This module allowed us to automize administrative processes in the area of human resources, gaining greater integration and efficiency when calculating payroll, times, and managing personnel, etc. Another technological platform is “Electronic Billing”, which allows us to send and receive electronic Billing to our clients and from our suppliers, in a way that is quick and completely integrated into our ERP.

  • Electronic Billing

    In line with its continual modernization program, at the end of the year 2006 the Print and Minting House began the process of electronic billing in the institution. The results have been positive in relation to the efficiency of the billing process, starting with the elimination of the manual stamping process, printing of pre-numbered documents, among others. Under the current billing process supported by SAP ERP, the following types of documents are considered: Digital Waybills Electronic Invoices Electronic Tax-Exempt Invoices Electronic Credit Notes Electronic Debit Notes Electronic Export Invoices * Electronic Exportation Credit Notes * Electronic Exportation Debit Notes * Electronic Sales Journals Electronic Purchase Journals Additionally, it allows the Institution to comply with government instructions regarding the incorporation of public entities, such as institutions that issue and receive electronic billing, in order to fulfill the objectives led by the Chilean IRS. The objective of this system is to give legal tax validity to electronic billing as support for comercial operations between contributors and in replacing the paper banknotes that are required by current regulations.
